Minutes, mail, and the record
Check every decision, figure, date and name in the model's draft against the recording.
When to use
Any meeting note, mail or letter that someone will rely on later: a client decision, a consultant's instruction, a site instruction, a change in scope.
The method
One: before anything is uploaded, decide what may leave the studio — client names, fees, unreleased drawings and anything under a non-disclosure agreement usually may not, and the confidential-inputs card on this map governs the call. Two: record with consent, transcribe, and let the model draft. Three: mark every decision, figure, date and name in the draft, and check each one against the recording or your own notes — not against your memory of the meeting. Four: circulate as "draft minutes, as recorded by", with a correction window. Five: file the recording or notes beside the minutes, so the record has a source.
Watch for this
Minutes that record what the model thought was said. A smooth summary drops the disagreement, and the disagreement is usually the point of the meeting. A long recording makes this worse: models recall the middle of a long transcript less reliably than its start and end.
Try it
Record a site or studio meeting with everyone's consent — one that runs the way most meetings in Karnataka run, in Kannada and English mixed, with the numbers in one language and the reasons in the other. Draft the minutes with a tool. Then check every decision line against the recording. Count the lines that drifted — softened, merged, or misattributed — and count separately the lines that went wrong at a switch between languages, or where a Kannada name or place came back Romanised three ways. That count is the liability you would have circulated, and the second count is the one no English-language demo will show you.
Prove it
Show one set of minutes with each decision, figure, date and name ticked against its source, and the source filed beside it.
How it works
Minutes are a record, and a record's value is that it can be checked later by someone who was not there. A model drafting minutes is predicting what minutes of such a meeting usually say, shaped by the transcript, which is why it smooths, merges and tidies. Long transcripts add a second failure: research on long contexts has measured that material in the middle of a long input is recalled less reliably than material at the ends. The method puts the checking on the items that carry consequence — decisions, figures, dates, names — and leaves the prose to the model.
